Scanning Paperwork into the Document Archive

Last Monday, we had a meeting to discuss the process of scanning and organizing paperwork for the Polygon document archive. We decided to use a flatbed scanner and Optical Character Recognition (OCR) software to digitize all relevant documents. The goal is to streamline access and searchability for family and friends who need to reference these documents.

For now, we plan to use a shared network drive for storing the scanned documents. We will create separate folders for each category of documents, such as financial records, legal papers, and personal documents. Each folder will have a clear naming convention, using the year and a brief description of the document type to facilitate quick access.

There are still a few open questions to address, such as who will be responsible for regularly scanning new documents and how to ensure the security and privacy of the documents stored on the network drive. We will schedule a follow-up meeting next week to finalize these details and set up a routine for ongoing document management.
